a) Account Registration Information

  • Purpose: To create and manage your user account, provide our services, authenticate users, and send important notifications.

b) Professional Profile Information (For Professionals)

  • What we collect: Official Name, contact details (Address, WhatsApp), professional credentials (Firm Name, Years of Experience, Bar Council Number, etc.), areas of specialization (Category, Detailed Category), languages spoken, gender, biography, education, website/SNS links, and uploaded images (Profile Photo, etc.).
  • Purpose: To display your profile in our Professional Directory, enable users to find you, and to power our search and map functionalities. Your physical address will be converted into geographic coordinates (latitude and longitude) solely for the purpose of enabling the map search feature.

c) AI Chat Feature Information

  • What we collect: Text messages you input into the chat, responses generated by the AI, and any files you upload (.pdf, .docx, .txt, .csv, .jpg, .png, etc.).
  • Purpose: To process your requests and generate responses from the AI models (e.g., Google Gemini, OpenAI GPT). For registered members, we also store chat history to allow you to review past conversations.
  • IMPORTANT: Files uploaded through the chat feature are processed to extract content for the AI and are immediately and permanently deleted from our servers upon completion of the AI processing. We do not store them. For non-registered (guest) users, chat conversations are not saved on our servers and are deleted when you close your browser session.

d) Blog and Q&A Forum Content

  • What we collect: Any content you voluntarily submit, such as blog posts, questions, and answers (comments).
  • Purpose: To publish your content on our platform and facilitate information sharing within our community.

e) Payment Information

  • What we collect: We do not directly collect or store your credit card details or other sensitive payment information. This information is collected and processed directly by our third-party payment gateways (e.g., Stripe, PayPal) through WooCommerce.
  • Purpose: To process payments for our premium membership plans.

f) Automatically Collected Information

  • What we collect: IP address, browser type, device information, and usage data (such as pages visited and time spent on site) through technologies like cookies.
  • Purpose: To maintain the security of our services, analyze website traffic, prevent spam, and improve user experience.

3. How We Share Your Information (Third-Party Disclosure)

We do not sell your personal information. We only share it with third parties in the following circumstances:

  • AI Service Providers: To provide the AI Chat functionality, your chat messages and the content of your uploaded files are sent to our AI service partners (such as Google for Gemini and OpenAI for GPT) via their APIs. Their use of your data is governed by their respective privacy policies.
  • Map Service Providers: We use Google Maps Platform APIs (Geocoding API, Maps JavaScript API) to convert professional addresses to geographic coordinates and display maps. This may involve sharing address information with Google.
  • Payment Processors: When you purchase a premium plan, your payment information is provided directly to our secure payment processing partners (e.g., Stripe, PayPal) to complete the transaction.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.

4. Data Storage, Security, and Retention

a) Data Security We are committed to protecting your information. We implement a variety of security measures, including:

  • Using SSL/TLS encryption for all data transmitted between your browser and our servers.
  • Encrypting sensitive information, such as API keys, stored in our database.
  • Regularly reviewing our security practices to protect against unauthorized access.

b) Data Retention We retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy.

  • Account & Profile Data: Retained as long as your account is active. You can delete your account at any time.
  • Chat History (Members): Retained until you choose to delete a specific chat history or delete your account.
  • Uploaded Chat Files: Not retained. They are deleted immediately after processing.
  • Guest Chat Data: Not retained. It is discarded when the browser session ends.

5. Your Rights and Choices

You have certain rights regarding your personal information:

  • Right to Access: You can access your account information, profile data, and chat history (if applicable) through your account dashboard.
  • Right to Rectification: You can update or correct your profile information at any time via the “Profile Edit” form.
  • Right to Erasure (Deletion): You can delete specific content you have created, such as chat histories or forum posts. You also have the right to request the complete deletion of your account and all associated data by contacting us.
